Social messaging privacy notice

Electro Design uses Electro Design Social Manager to handle business enquiries received through our Facebook Page Electro Design and Instagram account electro_design_ed. This notice concerns that messaging workflow. Contact: info@ed-iraq.com.

Information we process

We receive message text, sender and message identifiers supplied by Meta, the business account contacted, timestamps and attachment types. When you provide them for an enquiry, we may also record your name, business name, contact or WhatsApp number, city, product requirements, quantities and relevant sales follow-up. Providing a WhatsApp number is optional; you can continue in the original messaging channel.

How we use information

We use relevant information to understand and answer enquiries, refer requests to authorized sales staff, prepare quotations and track follow-up in our Odoo system. We may link an enquiry to the relevant customer or CRM record. We do not publish private contact details or conversations as marketing content.

Who processes information

Meta operates Facebook and Instagram. Electro Design stores and reviews enquiries in its Odoo installation hosted on Odoo.sh. Authorized assistant workflows may use OpenAI services and the Electro Design Odoo connector to read relevant records, prepare responses and support follow-up. Authorized Electro Design staff receive only information needed for their work. Our social analytics and content planning may use Metricool; this does not itself give that workflow access to every direct message. Each external provider operates under its own applicable terms and privacy notice.

Retention

For inactive enquiries that do not become sales, our retention target is 12 months after the last substantive customer contact. We review eligible records monthly and remove personal information when it is no longer needed. A verified deletion request or an earlier end to the business purpose is considered promptly rather than waiting for this target.

Active enquiries, unresolved disputes, orders and records necessary for accounting or other applicable obligations are reviewed separately. We retain only necessary information and record the reason for an exception. A messaging retention deadline does not itself authorize deletion of orders, invoices or payments. Deletion review covers relevant copies in CRM notes, internal handoffs and exports; backups follow their applicable lifecycle and may not be erased immediately. Our current process uses reviewed deletion rather than unattended bulk deletion.

Your choices and requests

You may request access, correction or deletion by emailing info@ed-iraq.com. Include the messaging platform, the account you used and the approximate enquiry date. Do not send passwords, authentication codes or identity documents in your initial request. We may request proportionate confirmation that the records concern you. We will explain any information that must be retained.
